PROJECT COORDINATOR Mechanical Manufacturing & Field Operations Durham Region | Full-Time | On-Site
The Opportunity We're partnering with a well-established Durham Region mechanical manufacturing and field services company with more than 30 years of success delivering custom-engineered solutions across Ontario. As Project Coordinator, you'll be at the centre of the operation, ensuring projects move efficiently from estimating through fabrication and installation to successful completion. You'll work closely with ownership, office staff, manufacturing, field crews and customers to keep projects organized, schedules on track and communication flowing. This is not an administrative support role. It's a fast-paced operational coordination position where initiative, organization and strong communication are critical to success.

The Ideal Candidate (please read) You're highly organized, but more importantly, you're proactive. You don't wait to be told what to do. You ask questions, pick up the phone, follow up consistently and take ownership of moving projects forward. You thrive in a fast-paced environment where priorities change, multiple projects are active at once and communication is constant. You're comfortable speaking with tradespeople, customers, suppliers and leadership, and you understand that many problems are solved through timely conversations rather than another email. Excel is one of your strongest tools. You're highly proficient in Microsoft Excel and comfortable maintaining detailed project schedules, tracking information and ensuring nothing falls through the cracks. Above all, you're dependable, assertive, resourceful and enjoy bringing structure to busy operations.
Key Responsibilities Coordinate multiple active projects from estimating through completion Act as the primary communication hub between ownership, office staff, manufacturing, field crews, customers and suppliers Maintain and continuously update the company's master Excel project tracker, ensuring schedules, project status and priorities remain accurate Coordinate labour schedules, road crews, shop priorities and project timelines Proactively identify scheduling conflicts, delays and operational issues before they become problems Support estimating, project setup and pre-production planning Ensure manufacturing and field teams have the drawings, documentation and information required to execute successfully Follow up with customers, suppliers and internal departments to keep projects moving Communicate schedule changes and project updates across the organization Maintain project documentation and support project closeout activities What You Bring 3+ years of experience in project coordination, operations coordination, scheduling or construction support Experience within mechanical manufacturing, construction, industrial services, elevators or related trades is strongly preferred Strong organizational and prioritization skills with the ability to manage multiple active projects simultaneously Excellent verbal communication skills with the confidence to coordinate across multiple departments A proactive, self-starting approach with the confidence to follow up, ask questions and drive action Advanced Microsoft Excel proficiency and confidence managing project tracking spreadsheets Strong attention to detail while maintaining a sense of urgency Professional, dependable and comfortable working directly with ownership in a fast-paced environment
