PURPOSE Support MMSCAN’s Sales Planning & Distribution Department by coordinating all activities related to Company Vehicles, Remarketing, CPO, and daily rental programs. This includes ordering, preparing, tracking, and disposing of Company Vehicles; supporting CPO and daily rental program administration; ensuring accurate reporting; and maintaining compliance with internal controls (including J‑SOX). The role works closely with internal departments, dealers, affiliates, and external partners to ensure timely execution and operational excellence.

This position reports to the Manager, Vehicle Logistics.

RESPONSIBILITIES Administer the company Vehicle Programs (Lease, Demo, Affiliate & Employee Programs) Solicit and track vehicle orders from departments, employees, and affiliates. Coordinate timely delivery of vehicles through MMSCANs dealer network Maintain accurate Company Car usage reports and vehicle movement tracking. Submit invoices for approval and ensure timely reimbursement. Send insurance renewals and coordinate license plate renewals with Service Ontario. speeding and parking ticket administration with employees, affiliates, and Accounting. Coordinating with Accounting and insurance carriers

End‑of‑Term (EOT) & Vehicle Disposal Monitor timing of EOT vehicles and coordinate turn‑ins. Receive Turn‑In reports from dealerships and update the PVT system. Liaise with the Remarketing Manager on turn-in-reports, pricing, and transportation to dealers or auction locations. Track and coordinate disposal of Company Demonstrators and retired units. Support PVT reconciliation and ensure accurate EOT documentation.

Remarketing Support Track used/retired vehicle returns and inventory. Coordinate and monitor Remarketing EOT Company Demonstrators. Ensure compliance with Remarketing processes and documentation standards.

Vehicle Damage Coordination Assess and coordinate repairs with dealers, insurance companies, and responsible parties Ensure prompt reimbursement and proper accounting treatment for damages under $1,000

CPO Program Support Track key performance metrics and program effectiveness. Compile monthly reports and dealer communications. Ensure compliance with CPO program standards. Use corporate resources to support program objectives.

Daily Rental Program Support Coordinate ordering, releasing, and delivery of RAC vehicles to Drop Ship locations. Enter and maintain RAC contracts in the PVT system. Track RAC Risk Incentive submissions and coordinate cheque requisitions. Ensure all RAC documentation meets J‑SOX compliance requirements.

REQUIREMENTS 3 – 5 years professional experience Organizational and time management skills Excellent administrative skills and process orientation High attention to detail and meticulous execution Strong communication skills – comfortable communicating with both internal and external stakeholders, verbally and in writing. Problem solving skills and critical thinking Basic to advanced computer skills including Excel and Word. Undergraduate degree or equivalent combination of experience and education.
