The Senior Operations Coordinator is responsible for supporting the various operating divisions at the White Oak Centre for Social Enterprise and the Environment. This role assists in developing and maintaining standardized administrative processes across departments, including Health & Safety, accounting support, audit activities, inventory and supply management, operational reporting, process improvement initiatives, and regulatory compliance.

What You Will Do  

  • Oversee inventory management, receiving, and shipping of retail supplies to stores.
  • Maintain stock of commonly used supplies for departments across the White Oak Centre.
  • Coordinate purchasing of supplies, equipment, and training materials.
  • Complete year-end inventory balancing and support accounting and audit activities.
  • Provide operational reporting, data entry, and administrative support for multiple departments.
  • Identify operational deficiencies through audits, reports, and financial reviews.
  • Collaborate with departments to standardize processes and administrative practices.
  • Support Health & Safety programs, inspections, audits, and compliance activities.
  • Record safety documentation, incident reports, and regulatory requirements.
  • Coordinate safety tours, drills, meetings, postings, and reporting requirements.
  • Track corrective actions and support audit readiness across departments.
  • Serve as the site representative for reception, visitors, phone systems, and office coordination.
  • Design, document, and implement Standard Operating Procedures (SOPs).
  • Lead process improvement initiatives related to receiving, inventory flow, dock operations, and safety workflows.
  • Attend meetings and training sessions as required.
  • Follow Goodwill’s policies and Health & Safety guidelines.
  • Perform additional duties in support of various operating divisions as assigned.

What We Are Looking For

  • Strong technical skills with Microsoft Office Suite including Word, Excel, PowerPoint, and SharePoint.
  • Ability to learn and navigate multiple software platforms and web-based tools.
  • Excellent organizational and administrative skills.
  • Strong communication and interpersonal skills.
  • Presentation and facilitation skills.
  • Experience maintaining databases, spreadsheets, and generating reports.
  • Strong problem-solving and process improvement abilities.
  • Ability to coordinate multiple priorities across different departments.
  • Experience working with Health & Safety policies, procedures, and legislative requirements.
  • Experience purchasing supplies and equipment.
  • Experience supporting accounting functions and operational reporting.
  • Ability to work a flexible schedule based on departmental requirements.
  • Ability to push, pull, and lift up to 20 kg.
  • Valid driver's license, reliable vehicle, and appropriate insurance.
  • Acceptable Criminal Reference Check.
  • Minimum 2 years of experience in an operational support role providing accurate and timely operational reporting.
  • Experience with Health & Safety administration and compliance requirements.
  • Experience with purchasing and inventory processes.
  • Experience supporting accounting-related functions.
  • Post-secondary education is considered an asset.
